Application Instructions

Effective July 1, 2025, in accordance with the applicable Memorandum of Understanding, the Personal Leave Program 2025 (PLP 2025) was implemented. PLP 2025 requires each full-time employee in Bargaining Unit 12, and related Excluded, Exempt and Statutory Exempt employees, will have their base salary reduced by 3 percent and will receive 5 PLP 2025 leave credits monthly through June 2027. Salaries do not reflect the recent changes. Part-time employees are subject to the same conditions as full-time employees, on a prorated basis equivalent to their time-base. Permanent intermittent employees are subject to the same condition as full-time employees, based on the number of hours worked in the pay period.

Minimum Qualifications

All applicants must meet the education and/or experience requirements as stated on this exam bulletin to be accepted to the examination.

Unless otherwise stated in the Minimum Qualifications, qualifying experience may be combined on a proportionate basis if the requirements stated below include more than one pattern and are distinguished as "Either" 1, "or" 2, "or" 3, etc. For example, applicants possessing qualifying experience amounting to 50% of the required time of Pattern 1 and additional experience amounting to 50% of the required time of Pattern 2 may be accepted to an examination as meeting 100% of the overall experience requirement.

Either I

One year of experience performing the duties of a Materials and Stores Supervisor I (Correctional Facility) or Materials and Stores Supervisor I in California state service.

Or II

Three years of experience in a storeroom or warehouse in work involving the receipt and issuance of large volume of varied commodities. (Experience in California state service applied toward this requirement must include at least one year in a class at a level of responsibility at least equivalent to Materials and Stores Supervisor I.)

Special Personal Characteristics:  Strength, good physical agility, and willingness to do heavy manual labor.

Special Physical Characteristics:  Persons appointed to this position must be reasonably expected to have and maintain sufficient strength, agility, and endurance to perform during stressful (physical, mental, and emotional) situations encountered on the job without compromising their health and well-being or that of their fellow employees or that of incarcerated persons.

Assignments tour of duty may include sole responsibility for the supervision of incarcerated persons and/or the protection of personal and real property.

Position Description

00101505 - MATERIALS AND STORES SUPERVISOR II (CORRECTIONAL FACILITY)

A Materials and Stores Supervisor II (Correctional Facility) is the second level working supervisor in the series. Incumbents may either (1) supervise the receipt, storage, issuance, and shipping of a volume of varied supplies requiring complex storage practices in a large redistribution or point-of-use warehouse or supply room, including supervision over a group of assistants; or (2) in an assigned geographic area, to have charge of a large volume of equipment, stores, and supplies for a State agency, and maintain control records on the movement of equipment; or (3) assume equivalent duties and responsibilities in assisting a higher grade warehousing supervisor.

Additional Desirable Qualifications:  Education equivalent to completion of the twelfth grade; completion of college-level work in the fields of accounting and/or business administration.

Eligible List Information

A Departmental Open eligible list for the MATERIALS AND STORES SUPERVISOR II (CORRECTIONAL FACILITY) Classification will be established for:

The names of successful competitors will be merged onto the eligible list(s) in order of final score regardless of test date. Eligibility expires 12 months after it is established. Applicants must then retake the examination to reestablish eligibility.

Resulting Eligibility List(s) will be used to fill vacancies throughout the State of California.

  1. Assist with the maintenance of an electronic information system such as BIS/SAP to input transactions/orders, prevent stock outs, and provide greater accuracy.
  2. Compare the receipt of incoming materials against bills of lading/packing slips to ensure accurate delivery of commodities requested. 
  3. Determine product specifications in conjunction with a standardized list to ensure that purchases are uniform. 
  4. Develop work standards on storage, shipping, and receiving operations for warehouse staff to maintain supplies and meet unit demands.
  5. Direct and/or accompany vendors/contractors to designated areas to ensure repairs and biohazard pickups are complete. 
  6. Estimate future supply demands based on past needs and requests to maintain adequate stock on hand. 
  7. Follow state, federal, and/or departmental guidelines to ensure the flow of paperwork from receiving to inventory control is accurate and complete. 
  8. Implement warehouse storage practices to meet organizational demands and adhere to work standards/guidelines. 
  9. Inspect supplies in a warehouse and/or outlying storage areas to ensure proper quality, any damage to outer packaging, and expired items. 
  10. Keep floor and storage areas clean and orderly to ensure a safe working environment. 
  11. Track inventory records utilizing an electronic information system such as BIS/SAP. 
  12. Monitor inspections of the physical condition of a warehouse and/or warehouse vehicle(s) to ensure proper maintenance and repairs are complete. 
  13. Operate forklifts/electric pallet jacks to move large supplies within a warehouse and/or outlying areas. 
  14. Plan, direct, and monitor the work of staff to ensure accuracy relating to the receipt, storage, issuance, and shipping of varied supplies and equipment. 
  15. Prepare and/or maintain reports to ensure the quality and availability of supplies. 
  16. Prepare areas for physical inventory, ensuring all receipts/goods are entered into an electronic database system to prevent overstock. 
  17. Prepare materials for delivery/pick-up utilizing requisitions, material handling equipment, and delivery practices to meet facility demands. 
  18. Prepare purchase requisition orders for stock supplies/non-stock items to maintain adequate stock.
  19. Provide training to new warehouse staff to ensure appropriate methods are used in warehousing functions and equipment usage. 
  20. Request price checks utilizing approved procurement contracts and suppliers. 
  21. Respond to general inquiries (e.g., emails, standard supply forms) regarding the receipt and/or issuance of supplies. 
  22. Store stock per warehouse industry standards, including the proper rotation of stock, to ensure adequate supply levels. 
  23. Supervise the purchase, receipt, storage, issuance, shipping, and inventory of equipment, materials, and supplies to maintain appropriate documentation and inventory control. 
  24. Take and complete all appropriate forklift driving safety courses. 
  25. Unload materials into a receiving department to ensure materials are staged for counting and inspection. 
  26. Verify/monitor reorder points to order materials/supplies and ensure there is adequate stock on hand. 
  27. Issue and/or physically deliver supplies and equipment to accommodate the needs of a department/organization. 
  28. Order a large volume of varied supplies, materials, and equipment to ensure adequate quantities for a facility. 
  29. Receive a wide variety of materials, supplies, and/or equipment to restock and replenish throughout a(n) department/organization.

Possession of the entrance requirements does not assure a place on the eligible list. Your performance in the examination described in this bulletin will be rated against a predetermined job-related rating, and all applicants who pass will be ranked according to their scores.

California Correctional Health Care Services reserves the right to revise the examination plan to better meet the needs of the service, if the circumstances under which this examination was planned change. Such revision will be in accordance with civil service laws and rules and all applicants will be notified.

General Qualifications: Applicants must possess essential personal qualifications including integrity, initiative, dependability, good judgment, the ability to work cooperatively with others, and a state of health consistent with the ability to perform the assigned duties of the class. A medical examination may be required. In open examinations, investigation may be made of employment records and personal history and fingerprinting may be required.

Eligible Lists: Eligible lists established by competitive examination, regardless of date, must be used in the following order: 1) sub-divisional promotional, 2) departmental promotional, 3) multi-departmental promotional, 4) service-wide promotional, 5) departmental open, 6) open. When there are two lists of the same kind, the older must be used first. Eligible lists will expire in one to four years unless otherwise stated on the bulletin.

High School Equivalence: Equivalence to completion of the 12th grade may be demonstrated in any one of the following ways: 1) passing the General Education Development (GED) Test; 2) completion of 12 semester units of college-level work; 3) certification from the State Department of Education, a local school board, or high school authorities that the competitor is considered to have education equivalent to graduation from high school; or 4) for clerical and accounting classes, substitution of business college work in place of high school on a year-for-year basis.

Accepted applicants must provide proof of identification at each in-person test session. Acceptable identification consists of a photo identification card or two forms of signed identification.
