Job Description and Duties

Under the general supervision of the Accounting Administrator I (Sup), the Accountant Trainee (AT) will learn all Systems Unit functions e.g. assist in processing manual and automated check requests from the Collections, Cashiering & Payroll Unit and the Travel/Research & Process Control Section. Create suppliers, customers, and new hires in FI$Cal. Respond to email communications in the Systems Unit’s email box. Post timesheets, maintain the timesheet files and the related management report. Act as back-up to these Systems Unit functions: preparing daily, FI$Cal outstanding transaction reports, ordering monthly FI$Cal agency reports, downloading CalSTARS and California Automated Travel Expense and Reimbursement System (CALATER) interface reports, and performing other tasks as assigned by the unit lead and supervisor in the unit or division.

Assist with the monthly labor distribution and cost allocation processes; analyze and resolve errors (e.g., cost not distributing, etc.) arising from the cost allocation process.

Recommend improvements to reporting capabilities and report formats to meet management needs and provide accounting/management reports that are user-friendly. Assist in evaluating the accounting system with a focus for enhancements, including improving accounting procedures through application of new software and technologies.

Analyze, update, and maintain the appropriation information for CalATERS, a web-based application that provides the ability to process travel advances, travel claims, and other reimbursable expenses. The 1099 vendor payment information is a requirement of the Internal Revenue Service and Franchise Tax Board.
