Job Description and Duties

Under the general direction of the Chief Counsel and Assistant Chief Counsels of the Division of Labor Standards Enforcement (DLSE or Labor Commissioner’s Office), as a member of a legal support secretarial team, the Legal Support Supervisor I performs a wide variety of supervisory and administrative duties necessary to maintain the support functions of a large legal office. The Legal Support Supervisor 1, in coordination with the other Legal Support Supervisor 1, plans, directs, coordinates, and review the work of the legal secretarial and clerical support staff, including but not limited to Legal Secretaries, Senior Legal Typists, Office Technicians, and Seasonal Clerks, providing legal support services to a large professional staff of attorneys. The incumbent may perform responsible legal secretarial work in addition to supervision of a legal support team.

The Legal Support Supervisor I is required to take substantial initiative, exercise a considerable amount of discretion, behave in an honest, fair and ethical manner, display superior work habits (e.g., organizational skills, accountability, timely completion of assignments), work independently, and produce the highest quantity and quality of secretarial work. The Legal Support Supervisor I will be required to develop and maintain knowledge and skill related to specific tasks, methodologies, materials, and equipment, and adhere to departmental policies and procedures. The Legal Support Supervisor is expected to be professional, courteous, and work cooperatively with all levels of LCO management, staff, and the public. The Legal Support Supervisor I must maintain consistent and regular attendance. The Legal Support Supervisor I will normally average forty hours of work per week including paid leave; however, depending on workload, special assignments, or projects, incumbent may occasionally be required to work beyond the forty hours per week and is expected to work all hours necessary to accomplish their assignments and fulfill their responsibilities. The Legal Support Supervisor I travels throughout the state as required with some overnight stays of varying length and frequency. Currently, the Legal Support Supervisor I both teleworks and works in the office as permitted by departmental policy.

The Legal Support Supervisor 1 contributes toward the growth of the Legal Unit to ensure that the evolving needs of the Labor Commissioner’s Office’s Legal Unit are met. The incumbent must possess strong management, leadership, and communication skills as they will be responsible for leading a regional team of support staff and contribute to building a productive work environment that promotes the Labor Commissioner’s Office’s organizational well-being. The Legal Support Supervisor 1 is responsible for ensuring their team members are aligned with the vision of and focused on achieving the mission of the Labor Commissioner’s Office, as well as for performing the following functions.

The office is situated in a low to mid-rise building. The office is a smoke free environment and secretaries are housed in window space at individual cubicles. Work schedule is Monday to Friday, 8am to 5pm.

Desirable Qualifications

In addition to evaluating each candidate's relative ability, as demonstrated by quality and breadth of experience, the following factors will provide the basis for competitively evaluating each candidate:

Experience with civil litigation and general judicial processes to effectively interact with attorneys, deputy 
labor commissioners and court personnel.
Knowledge of legal concepts, principles, procedures and deadlines necessary to understand statutory requirements for filing documents in State, Federal, Appellate
and Administrative Law courts.
Knowledge of preparing legal documents in an effective manner (e.g., briefs, motions, pleadings) with understanding of technical legal terms, various legal forms and
documents.
Knowledge of internet search engines (e.g., West Law, Lexis Nexis) to locate information (e.g., court decisions and relevant Federal and State Statutes); court
websites; court and local rules.
Knowledge of the English language in oral and written form (e.g., spelling, grammar, punctuation, and sentence structure) to perform work assignments.
Excellent organizational skills to multi- task: includes, but not limited to: trial preparations, scheduling depositions: arranging venues, court reporters and interpreters.
Knowledge of proper filing techniques to create and maintain organized hardcopy and/or electronic file information for attorneys.

Proficiency in using Microsoft Word, Outlook, Excel, Adobe Pro DC, modern office technology, methods, and equipment.
Math skills to calculate accrued interest on unpaid judgments and occasional statistical data.
Excellent organizational skills to multi- task: includes, but not limited to: trial preparations, maintaining attorney case files, scheduling depositions: arranging venues, court reporters and interpreters.

Ability to type no less than 40 wpm (words per minute), read and write English at a level required for successful job performance. Ability to take dictation involving legal terms at 90 words a minute.
Ability to interpret and apply rules regarding content, citations, order of presentation, formatting, page limitations, certificate of word count, etc., in order to comply with court rules.
Ability to read and understand dockets for retrieval of documents from court files and
review technical and legal information to locate and highlight information specified in search criteria.
Ability to independently perform complex legal clerical work.
Ability to think and perform quickly in resolving time-sensitive issues to anticipate deadlines and ensure work assignments are accomplished in a timely manner.
Ability to prepare correspondence independently, spell correctly, transcribe accurately difficult dictation that involves a variety of legal terms.
Ability to develop and maintain cooperative relationships (e.g., with governmental agencies, attorneys, clerical staff) to build positive working environment.
Ability to communicate effectively with leadership, peers, and members of the public.
