Job Description and Duties

This is a 12-month Limited Term Position.

Under the direction of the Manager II (Legal Support Operations (LSO) Manager), the Supervisor II (Statewide Pod Manager) will serve in a limited term position (which may become permanent) for LSO’s POD “Pilot” by overseeing staff within section specific PODs that provide office support services, analytical support, and specialized legal support services.

This position directly supervises two Supervisor Is and, through subordinate supervisors, provides oversight of analytical, technical, and specialized legal support staff.

The Statewide POD Manager serves as a point of contact to attorneys, paralegals and other stakeholders within the Office of the Attorney General including the legal division managers, the Division of Administrative Support (DAS) managers, the courts, opposing counsel, public and private law offices, and law office vendors. This role also coordinates closely with legal division management.

The Statewide POD Manager oversees organization development and the implementation of service delivery systems to ensure effectiveness across section specific PODs. Responsibilities include strategic planning efforts; identifying and addressing current and future needs; meeting regularly with LSO Managers and OLSS Director on staff services functions; reviewing and approving confidential reports; attending meetings; and consulting with legal and legal executive staff.

Legal office management experience is required. A strong background in business and/or human resources preferred. The candidate must demonstrate the ability to lead, communicate and collaborate effectively, work with diverse multi-disciplinary teams, and manage complex scheduling and staff assignments.

Working Conditions

Partial telework and/or in-office options are available. Schedules are based on business needs and may be re-evaluated as Department needs change.

Desirable Qualifications

In addition to evaluating each candidate's relative ability, as demonstrated by quality and breadth of experience, the following factors will provide the basis for competitively evaluating each candidate:

  • Managerial experience as a Law Office Manager or Assistant Office Manager (state government a plus).
  • Knowledge of law office administration in a large law office environment, including departmental roles and functions.
  • Demonstrated leadership and people management skills, including the ability to motivate, plan, and guide diverse teams in a fast-paced environment.
  • Strong written, oral, and interpersonal communication skills, with the ability to effectively preset information to staff, stakeholders, and leadership.
  • Experience leading organizational change and transitions.
  • Demonstrated experience overseeing pilot programs in support of a large law office.
  • Knowledge of human resources principles, including State of CA hiring practices; recruitment; interviewing; training and development; progressive discipline; labor relations; and equal employment opportunity requirements.
  • Ability to manage multiple projects simultaneously while meeting competing deadlines.
  • Strong judgment and decision making skills, including the ability to analyze data and develop effective solutions to complex and sensitive issues. Ability to compile data/metrics and produce reports of the pilot to the LSO Managers, OLSS Director, and executives.
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook, and PowerPoint); Smart Sheets; and Case Management Systems (ProLaw preferred).
  • Experience with or exposure to strategic planning.
