CalPERS seeks an Accountant Trainee in the Financial Reporting and Accounting Services Division, Accounts Payable Unit.

Duties include but are not limited to:
Using Peoplesoft Financial System (PeopleSoft), reviews Purchase Orders to validate available funding and receipt of purchased items. Upon validation, processes the less complex accounts payable invoices and claim schedules for payment in compliance with departmental policy, the State Administrative Manual, and accounting procedures prescribed by the State Controller’s Office (SCO). Applies accounting principles and departmental policies to ensure appropriate accounts, funds, and fiscal years are utilized to provide accurate and consistent financial reports that are shared with internal customers, vendors, and control agencies. Assists vendors and CalPERS staff with questions regarding payments and various other inquiries.

Manages the inbox, printing incoming invoices and addressing payment inquiries. Oversees the review, sorting, scanning, and distributing CalPERS administrative invoices for approval and payment. Utilizing PeopleSoft, identifies purchase order type and approving program area in order to route the invoice to the appropriate program area. Oversees the maintenance of the invoice tickler file and tracking process.

Special Requirements

Statement of Qualifications
Please provide a Statement of Qualifications (SOQ) for the hiring manager’s review. Applications received without an SOQ or those that do not respond to the specific statements below will not be considered.

The SOQ must be written in Arial 12 pt. font, single-spaced, and no longer than four pages in length total. You must number and write out each question followed by your response. Include the JC 296830 and your first and last name on the SOQ.

1. Past experience with Accounts Payable activities, including processing vendor invoices for payment, reviewing
    purchase orders and contracts, and preparing State Controller’s Office claim schedules. Please include the type
    of administrative expenses, financial data, reports, and accounting systems used.

2. Your knowledge and experience if any, with current State of California Code of Regulations, State Administrative
    Manual (SAM), and Memorandum of Understanding with Labor Union Bargaining Units pertaining to Accounts  
    Payable processes and procedures.

3. Describe a time when you became aware of a potential problem and resolved it before it became an issue.

4. Give an example of when you completed a difficult task that made you work harder than normal.

5. On a scale from 1-5 (5 being the highest) rate your skillset with Microsoft Office Word, Excel, PowerPoint, and
    PeopleSoft Financials (or other similar accounting software programs). Please describe your experience and/or
    give examples that support your rating.

6. Describe the customer service skills that are most important to you and give an example of how you have
    exercised them in the past. (i.e. calm under pressure, personable, patient)
