Job Description and Duties

RESPONSIBILITIES

  • Provide direct support for a Judicial Council advisory body, the Sargent Shriver Civil Counsel Implementation Committee, as well as for the Violence Against Women Education Subcommittee of the Family and Juvenile Law Advisory Committee.
  • Advisory Committee duties include administering meetings and communications to the committee, finalizing and providing materials, and providing direct assistance to the chairs and other committee members.  
  • Develop and administer meeting calendars, prepare outlook invitations, and handle meeting logistics.
  • Update, assemble, and distribute committee meeting materials and e-binder materials.
  • Support Judicial Council Advisory Committees including Providing Access and Fairness, Sargent Shriver, and Family and Juvenile Law by administering the Judicial Council report process for Advisory Committee reports.
  • This involves finalizing and monitoring Judicial Council report drafts and approvals. These projects and Advisory Committee oversight roles are mandated by the Legislature, and high profile.
  • Prepare advisory committee reports related to grant allocations.
  • Conduct and monitor complex process of posting reports and obtaining revisions or approvals from advisory committees.
  • Provide financial, budget monitoring and project management functions for six programs providing grants and funding to the superior courts: the Violence Against Women Education Project, the Sargent Shriver Civil Counsel Pilot Program, Self-Help Center grants, Model Self-Help Pilot Project, Family Law Information Centers, and Access to Visitation grants.  
  • Draft and maintain templates for Interbranch Agreements and Non-Competitive Bid justifications; prepare and submit procurement requests.
  • Monitor budgets, review project deliverables and invoices and support the grants’ senior analyst and manager to ensure contract requirements have been met prior to processing.
  • Coordinate meetings, materials and communications for self-help center staff, including representatives from all courts and involving weekly meetings and multiple communications and interactions with court staff.
  • Provide administrative support for SHORE projects including monitoring and updating SHORE project portfolio, including Service Now, and tracking key administrative and Judicial Council deadlines and deliverables

 

Other Duties and Responsibilities:

  • Attend PAF meetings;
  • Attend other meetings;
  • Attend trainings;
  • Attend and present at conferences related to job duties.

The Judicial Council of California is accepting applications for the position of Administrative Coordinator for the Center for Families, Children and the Courts.

 

This Administrative Coordinator position is needed to perform logistics and coordination activities for multiple complex projects in support of the Judicial Council’s Self-Help Outreach, Research and Education (SHORE) Unit. These duties include direct support for a Judicial Council advisory body, the Sargent Shriver Civil Counsel Implementation Committee (Shriver) as well as the Violence Against Women Education Subcommittee of the Family and Juvenile Law Advisory Committee. Advisory Committee duties include administering meetings and communications to the committee, finalizing and providing materials, and providing direct assistance to the chair and other Subcommittee members.

 

The Administrative Coordinator is also responsible for administering the Judicial Council report process for Advisory Committee reports. This involves finalizing and monitoring Judicial Council report drafts and approvals. This position involves multiple communications and interactions with court leadership including court executive officers and presiding court judges. The incumbent is responsible for a range of financial, budget monitoring and project management functions for seven programs providing grants and funding to the superior courts: the Sargent Shriver Civil Counsel Pilot Program, Self-Help Center grants, Model Self-Help Pilot Project, Family Law Information Centers, Access to Visitation grants, Violence Against Women Education Project and JusticeCorps.

 

The Administrative Coordinator will provide general administrative support for each of those projects including proofing materials to ensure accuracy and completeness of information and monitoring contract deliverables. The position also supports the Violence Against Women Education Project, Self-Help project and Access to Visitation project in coordinating its educational events. This includes over seven two full day training sessions each year. The incumbent interfaces on a daily basis with Judicial Council members, judges, court personnel, and non-court professionals and works primarily under direct supervision.

Desirable Qualifications

MINIMUM QUALIFICATIONS

Three (3) years of administrative support experience including some experience in area(s) of

assignment (such as accounting, writing/editing, database/spreadsheets, direct support to upper

management, etc.).

 

OR

 

Associate’s degree, preferably in area(s) of assignment, and one (1) year of administrative support

experience including some experience in area(s) of assignment (such as accounting, writing/editing,

database/spreadsheets, direct support to upper management, etc.). Additional directly related

experience and/or education may be substituted on a year-for-year basis.

 

OR

 

One year as an Administrative Specialist, Facilities Specialist, or Fiscal Services Specialist with the

Judicial Council of California or one year of experience performing the duties of a class comparable

in the level of responsibility to that of an Administrative Specialist, Facilities Specialist, or Fiscal

Services Specialist in a California Superior Court or California state-level government entity.
